What is Netex Drive?
Netex Drive is Learning Cloud's cloud storage service, which allows you to save and share training resources among its different tools. A repository where to have all the necessary material for training, both e-learning resources and PDFs, multimedia and more. It works around a series of file libraries that you can create and manage as you wish, indicating which users will have access to the resource. Netex Drive is integrated with the Learning Cloud ecosystem (LMS, Author) and offers many features that make it easy to create and manage learning content: Upload and download e-learning and multimedia files: xAPI, documents, images, videos, audio Use these resources between the different tools simultaneously Manage access permissions per user or group Directly link LMS courses to xAPI contents uploaded in the cloud Work with different versions of the units, stable or draft, and automatically update them in the published courses In addition to being integrated with the other tools, Netex Drive works as an application and is accessible from the landing page. Access: roles and permissions
Netex Drive is an app integrated into the basic Learning Cloud ecosystem, there is no need to make a request or activate any options to start using it. In addition to the integration with other applications, you can directly access the libraries by clicking on the Netex Drive icon on the home page. In order to give access to the other users of the platform and manage their permissions, you must first assign them a Netex Drive role. To do this log in as a user with Administrator permissions in Global Admin and access this tool. In the Users section create a new one. Or look for an existing one to edit his/her profile. Within the tab, in the User Access section, deploy the Drive menu to assign a role to the user: Administrator: has access to all libraries, both public and private. He/she can: Manage existing libraries: edit details, manage permissions and delete them Create new libraries Download and delete files from libraries User: has access to public libraries, and to private libraries that have been granted permissions: Viewing only: accessing resources Editing: upload and delete resources Can also create new libraries For more information about how libraries work check this article. In case of a library shared from another instance, neither administrators nor users can change the name, manage the files or delete it.

Libraries
In Netex Drive uploaded content is organized within libraries, no resource can be outside of them. A library functions as a container or folder that groups resources related to a topic. Visibility Libraries are created by users, and can be: Public: any user can edit the details of the library, and the files it contains Private: only administrators and users with permission can access this library. This permission can be: Can view: allows the user to view and download the contents of the library Can edit: also allows uploading and deleting contents Create a library To create a new library access Netex Drive, and on the main page click the Add library button. A side menu appears where you can enter the Name. If you enable the Public flag all users will have access, if you leave it disabled the library will be private and you will have to grant access to users. Click the Save button to create the new library. Edit a library The list shows the library information: its visibility, which users have edited it and on which dates. Clicking on the information icon on the right displays a side menu with more data. Clicking on the three dots displays the editing options: Details, to edit the library settings Manage permissions, to edit the users who have access. If the library is public, this option is disabled Delete, to permanently erase the library In case of a library shared from another instance, neither administrators nor users can change the name, manage the files or delete it. Manage permissions When managing the permissions of a library you enter a new page with the list of users who have access to it. With the buttons on the left you can switch between users who were given access individually, and groups of users. You can select one or more by clicking on the flag on the left to modify the type of permission they have, or remove access completely (Delete). To add new users or groups click on the Add button. A new list is displayed with all the users of the instance that have access to Netex Drive. Select one or more and click the Add button to choose the type of permission, Can view or Can edit.

Files
Netex Drive integrates directly with the LMS and Author apps. For example, when publishing authoring units in Author it will be necessary to indicate in which Netex Drive library they will be stored. This way, when creating new courses in LMS you can link directly to those units, and choose which version to use or automatically display the latest stable version. Uploading files But it is not only used to store Author content, you can also upload files in other formats such as e-learning (xAPI) and multimedia (images). To do this, access Netex Drive and enter the library where you want to save these files by clicking on it. You will see a list with the files it already contains and information about them: File Name Title, in case of Author files this will be the title of the authoring drive Version, only applies to Author files Type of file: xAPI, image... If it is a Draft or not, only applies to Author files Creation and last modification Dates Users who created and last modified it File Size To add new content click the Upload file button and browse your computer to find the file and select it. A panel at the bottom right shows information about the upload process, which files are being uploaded and their progress. If it closes, you can open it again by clicking on the upload icon in the upper right corner. Manage files You can manage the files already uploaded with the icons on the right: the Information icon displays a tab with more data about the file the three dots display the options menu, to Download or Delete the file Remember that depending on the type of role you have and the permissions of the library you may or may not have access to these options. Using the flags on the left you can select several files to delete them at the same time. Other available options are: View a side window with Information about the library Add users Display the options edit library Details, Manage permissions and Delete library Recent In the left menu of the screen there is the Recent option, which allows you to access a list of all uploaded files, sorted by date of modification. From here you can access the same management options, to download or delete them.
